The short version
Everything you enter into Time Tracker for Professionals stays on your own computer. We never see it, and the program does not send it anywhere.
Where your information is kept
Your data file. Your time entries, projects, clients, rates, activity classes and settings (including the name, business name and email address you give in Settings) are stored in one database file on your computer. By default it is in the program's data folder, %LocalAppData%\TimeTrackerForProfessionals\Data. You can choose another folder when you set the program up, or move it later in Settings. The About screen shows where your data file and settings file are.
Settings file. A small file, config.json, in %LocalAppData%\TimeTrackerForProfessionals remembers where your data file is and how you left your windows, columns and views. It is kept on that computer only.
Backups. When you back up (or when the program backs up as it closes, if you leave that on), copies of the data file are saved in a Backups folder beside your data file, or in the folder you choose in Settings.
Error log. If something unexpected goes wrong, the program writes a note to error.log in %LocalAppData%\TimeTrackerForProfessionals. It contains the date, the program version and technical details of the problem, which can include file locations on your computer. It stays on your computer unless you choose to send it to us.
Temporary report files. Choosing Preview on a report saves a temporary PDF in your Windows temporary folder and opens it in your PDF viewer. The program does not delete it.
When the program contacts the internet
Never on its own. The program does not check for updates, send usage information or error reports, or connect to any website or server. It has no analytics, advertising or tracking, and it does not create accounts or ask you to sign in.
The About screen shows our website address and support email address. If you click one, Windows opens it in your web browser or email program. That is your browser or email program making the contact, not the Software, and what you send is up to you.
Files you choose
The program reads or writes files outside its data folder only when you choose them, for example:
- backups you create or restore;
- CSV, PDF or Excel files you save or export;
- spreadsheet timesheets you choose to import, which are only read;
- the folder you name for setup files, which the program looks in for a newer version (it only looks at file names there).
An external accounting database
If you choose one, the program opens it read-only to read projects, clients, rates and which time has been invoiced. It never changes that database. To send time to your accounting program, the Software saves a timesheet workbook in the folder you pick, only when you ask it to, and you decide what happens to that file next.
If you keep your data in a synced folder
If you put your data file or backups in a folder that a service such as OneDrive or Dropbox keeps in step, that service holds a copy under its own terms and privacy practices. The program itself uploads nothing.
Your control
- You can back up, move or delete your data file and backups at any time.
- Uninstalling the program does not delete your data folder, so your data stays with you until you delete it.
- We hold no copy of your data, so there is nothing for us to provide, correct or erase.
- If you email us, we keep your message and our reply only as long as needed to help you. We will delete them if you ask.
Your responsibilities
You are responsible for protecting your computer and your user account, for keeping backups, and for the security of any backup or export file you create, wherever you store or send it.
Changes to this note
If a later version adds an online feature, we will update this note, and tell you on our download page, before that feature is used. The date at the top shows when this note was last changed.
