Built for Getting Things Done

Capture everything. Trust the system. Do the next right thing.

David Allen's Getting Things Done is one of the most trusted productivity methods in business. Its core idea is simple: your mind is for having ideas, not holding them. GTD works when you have one trusted system that makes every step fast. Kanban Task Board was designed to be that system, with a tool for each of the five steps.

Capture

Quick Add, Ctrl+Alt+N

Get it out of your head from any program in seconds. Drop in emails, files or screenshots as you go.

Clarify

Project, priority, owner

Decide what it is and who owns it. Set a due date, add notes, or break it into sub-tasks.

Organize

Columns, lists, start dates

Sort by project, goal, person or flag. Park someday items with a future start date and log what you're Waiting On.

Reflect

Saved views, timeline, reports

Run your weekly review from saved filters, the Waiting On list, the timeline and PDF reports.

Engage

Today view, Hide Future

Press Alt+T for what's due and overdue, then drag work through to Done with confidence.

An example board. Someday/Maybe items sit quietly with a future start date until you're ready for them.

Columns = your GTD listsInbox, Next Actions, In Progress, Waiting For and Done. Add a Someday/Maybe column if you prefer to see it.
Flags = contexts@Calls, @Computer, @Office, @Errands. Filter by one and see only what you can do right where you are.
Projects = GTD projectsAny outcome that takes more than one step. Filter a project to check it always has a next action.
Goals = areas and horizonsLink work to your areas of focus and longer term goals, so the weekly review looks up as well as down.
Start dates = your ticklerGive a task a future start date and turn on Hide Future. It reappears the day it becomes relevant.
The weekly review, made easy

The habit that makes GTD work, in about 30 minutes

GTD stands or falls on the weekly review. The board gives you a view for every part of it, so it becomes a quick routine instead of a chore.

Get clear

  • Quick Add every loose end still on your mind
  • Process the Inbox column to zero
  • Drag in any emails still waiting for a decision

Get current

  • Press Alt+T to clear anything due or overdue
  • Open the Waiting On list and chase what's stuck
  • Check the timeline for the next two weeks
  • Confirm every project has a next action

Get creative

  • Scan Someday/Maybe and promote what's ready
  • Review Goals and add the next steps toward them
  • Print a PDF report to see the whole week at a glance
Tip: Create "Weekly Review" as a recurring task every Friday and save this checklist in its sub-tasks. It comes back on its own each week, ready to tick off.

A 40 second tour of the basics

No sound needed. On screen captions explain each step.

Who it's for

Too much on your plate to keep it all in your head?

If you run a business, lead a team or serve several clients, the work never arrives in a tidy list. It comes from meetings, emails, hallway conversations and ideas at 6 a.m. Some of it is urgent, some is waiting on someone else, and some is a good idea for next quarter.

Kanban Task Board gives all of it one trusted home. Capture a thought in two seconds without leaving what you're doing, then sort it when you have a minute. The board shows only what you can act on today, while everything else stays safely out of sight until it matters.

The result is fewer dropped balls, cleaner handoffs and a clear head for the work that needs your full attention.

ExecutivesTrack decisions, delegated items and board follow ups across every part of the business.
Business ownersWear every hat without losing track of sales, operations, admin and the ideas you want to get to.
Consultants and fractional leadersKeep each client in its own project and see your whole week across all of them.
Project managersAssign owners, track who you're waiting on, and see every deadline on a timeline.
What it does

Built for people who run a lot of moving parts

Board and filters

Drag tasks between columns, filter by project, priority, person or due date, and save the views you use most.

Timeline

See every task from start to due date by project, in day or week view, on screen or printed.

Quick Add

Press Ctrl+Alt+N from any program to add a task in seconds, with shortcuts for priority, person and date.

Templates and recurring tasks

Save tasks you repeat as templates, and let recurring tasks create their next occurrence on their own.

Waiting On and start dates

Track what each task is blocked by, and hide work that can't start yet so the board shows only what you can act on.

Reports, Excel and email

PDF reports, Excel import and export, and one click to email a task through Outlook. Undo covers your last 30 changes.

How it works

One board for everything on your plate

Tasks

Each task has a project, priority, due date, owner, notes, flags, sub-tasks and attachments. Only the project is required.

Columns

Tasks move left to right through columns such as To Do, In Progress, Waiting and Done. Drag a card to move it.

Lists

Projects, Goals, People and Flags are your own lists, so you can slice the board any way you like.

Your file

Everything is saved in a single task file on your PC, with attachments copied beside it. Back Up Now in Settings keeps a copy.

Getting the most from it

Usage tips

1

Add a task from anywhere. Press Ctrl+Alt+N in any program while the app is running. Type !high, @sam or /fri in the line to set priority, owner or due date.

2

Start in the right column. Double click a column heading to create a task already in that column. Double click any card to edit it.

3

Work on several at once. Ctrl+click or Shift+click cards, then drag or right click to move, reassign, reprioritize or delete them together.

4

Focus on today. Alt+T shows what's due today plus anything overdue. Esc clears the filters again.

5

Save your favourite views. Store up to ten custom filters and recall them with Alt+0 to Alt+9.

6

Keep the board realistic. Give future work a Start date and turn on Hide Future, so you only see what you can act on now.

7

Know what's stuck. Fill in Waiting On (for example "Sam's quote"). The Waiting On button lists every blocked task across the board.

8

Stop retyping. Right click a finished task and choose Save as Template. Dates are kept as days from today.

9

Attach anything. Drag files or Outlook emails onto a card, or paste a screenshot. A copy is stored with your task file.

10

Mistakes happen. Ctrl+Z undoes your last change to a task, up to 30 steps back.

Install

Up and running in a minute

  1. Download the installer using the button above.
  2. Run it and choose where your task data should be kept.
  3. Updating? Run the newer installer. Your tasks and settings are kept.
Expect two warnings. Because this beta isn't code signed yet, your browser asks you to confirm the download (see the steps under the Download button), and Windows SmartScreen may say it "protected your PC" when you run it. Click More info, then Run anyway.
Found a problem or have an idea? Use Report a Problem on the app's About screen, or email support@hillierconsulting.ca.
